Job Title: Program Services Specialist
Department: Program Services
FLSA Status: Non-Exempt
Reports to: Director of Program Services

Position Responsibilities (delineated based on Strategic Priorities)

Section 2 – Service Delivery

  • Provide support for the Chapter Transportation Programs
  • Process requests for volunteer drivers in a timely manner
  • Schedule volunteer drivers for appropriate transportation appointments
  • Provide up-to-date information to referring agencies (e.g., human services, nursing homes, physicians, hospitals)
  • Assist clients with completing appropriate certification paperwork
  • Process certification applications in a timely manner
  • Maintain chapter vehicle check out
  • Coordinate Chapter Medical Equipment Loan Program
  • Ensure that equipment is properly cleaned and maintained.
  • Order repairs and/or parts as necessary
  • Ensure that records are routinely entered in the computer
  • Ensure that clients with late or missing equipment are contacted to return equipment
  • Coordinate all budget preparation
  • Provide support to the Health and Safety Department:
  • Manage the Health and Safety course registration process for all community, full service, and authorized provider courses in assigned jurisdiction (including notification to course participants of course cancellations).
  • Coordinate Community H&S schedule, including scheduling of instructors and set up of classes.
  • Coordinate Winnebago County First Aid Stations and provide support to out-based staff on First Aid station rules and regulations
  • Enhance chapter program customer service by serving as the back-up for all chapter program service efforts (Bridges, Health & Safety, etc.).
  • Section 3 – Enhancing Public Image

  • Serve as a presenter for the chapter’s Speakers Bureau
  • Section 4 – Ensure Adequate Resources

  • Support chapter fund raising efforts.
  • Oversee the operation and maintenance of all chapter-owned vehicles.
  • Section 5 – Chapter Administration & Support

  • Coordinate Office Services to ensure quality customer service at assigned branch office(s):
  • Ensure timely and effective processing of incoming and outgoing mail
  • Ensure that all money is receipted to the appropriate account
  • Maintain check-out/return records for all equipment and supplies.
  • Coordinate reception area and telephone coverage
  • Ensure that the office is maintained in a clean and organized manner.
  • Coordinate inter-office services including all offices:
  • Coordinate the Chapter’s annual resale inventory
  • Manage registration and coordinate arrangements for all multi-jurisdictional activities held in the Chapter.
  • Meet reporting and compliance requirements for assigned Chapter Performance Standards.
  • Accept special assignments as designated in the yearly plan of work.
  • Ensure proper representation at appropriate state and national activities related to assigned programs and services.
  • Serve as an instructor for courses held throughout the Chapter jurisdiction
  • Essential Skills & Experience – Pre-Hire Requirements

  • Demonstrated work experience of at least two years in an administrative capacity.
  • Demonstrated knowledge of the following programs: Microsoft Word, Excel, Access, and Outloook.
  • Excellent written and verbal communication skills.
  • Excellent time management skills
  • Demonstrate ability to be a strong team player.
  • 24-hour on-call availability
  • Access to reliable transportation
  • Essential Skills & Experience – On-the Job

  • Ability to supervise and communicate effectively with volunteers
  • Current First Aid and Adult CPR certification
  • Position Supervision/Management

  • Volunteers as assigned
  • Physical Demands

    Exerts up to 10lbs. of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Involves sitting most of the time, but also involves walking or standing for 30 minute periods of time. Will routinely have to stoop or crouch to pick up objects; reach, extend hands and arms in any direction; seize, hold, grasp, turn, or otherwise work with hands; fingers are involved with picking, perceiving attributes of objects such as size, shape, and texture. Talking and hearing are used routinely in this position as well as visual acuity for far and near distances as well as appropriate depth perception.
